Last updated: October 2026

Make Space Chelmsford (“Make Space”, “I”, “me” or “my”) respects your privacy and is committed to protecting your personal information.

This privacy policy explains what information I collect, how and why I use it, who it may be shared with and the rights you have over your personal information.

Who I am

Make Space Chelmsford provides creative workshops, parties, events, craft kits, bespoke creative services and location hire in Chelmsford, Essex.

For the purposes of UK data protection law, Make Space Chelmsford is the data controller for the personal information described in this policy.

What information I collect

Depending on how you interact with Make Space, I may collect:

  • your name

  • email address

  • telephone number

  • billing and payment information

  • booking and order details

  • information you provide when enquiring about a party, event, workshop, location hire or bespoke service

  • information you provide when joining my mailing list or WhatsApp community

  • correspondence you have with me

  • information necessary to accommodate accessibility or additional requirements at an event

  • technical information about how you use the website, such as IP address, browser type, device information and website activity

  • your marketing and cookie preferences

If you make a booking on behalf of somebody else, you should only provide their personal information where you have permission to do so.

How I use your information

I may use your personal information to:

  • respond to enquiries

  • process bookings, orders and payments

  • provide workshops, parties, events, location hire and other services

  • communicate with you about a booking or order

  • personalise or prepare an activity where required

  • provide customer support

  • manage cancellations, refunds or changes

  • send marketing emails where you have agreed to receive them

  • administer my website and improve my services

  • maintain appropriate business, financial and legal records

  • prevent fraud and protect the security of the website and my business

I will only use personal information where I have a lawful basis for doing so.

My lawful bases for using your information

Depending on the circumstances, I rely on one or more of the following lawful bases:

Contract – where I need your information to take steps at your request before a booking or purchase, or to provide something you have booked or purchased.

Consent – where you have actively agreed to something, such as receiving email marketing or accepting certain website cookies. You can withdraw your consent at any time.

Legitimate interests – where using your information is reasonably necessary to operate and improve Make Space, communicate with customers, maintain security or manage the business, provided those interests do not override your rights.

Legal obligation – where I need to keep or use information to comply with a legal requirement.

The ICO requires businesses to determine the appropriate lawful basis before processing personal data and explain it in their privacy information.

Children’s information

Some Make Space workshops, parties and events are designed for children.

Bookings for children should be made by a parent, guardian or responsible adult. I only collect information about children where it is reasonably necessary to provide the activity safely and appropriately.

I do not knowingly use children’s personal information for direct marketing.

Accessibility and additional requirements

You may choose to tell me about an accessibility, health or additional requirement so that I can make reasonable arrangements for you or your child to participate.

Some of this information may be classed as special category data under UK data protection law. Where this applies, I will only collect and use the information where there is an appropriate legal basis and condition for doing so, and I will only use what is necessary for the purpose for which it was provided.

I would check this part with Debbie carefully, because her existing event wording actively asks people to disclose things such as being partially sighted, hard of hearing or neurodivergent. That can involve health/disability information, so it needs more care than an ordinary contact form.

Marketing

If you choose to subscribe to Make Space emails, I may use your name and email address to send you news, upcoming workshops, events and other Make Space updates.

You can unsubscribe at any time using the unsubscribe link in an email or by contacting me at hello@makespacechelmsford.co.uk.

Unsubscribing from marketing will not prevent me from sending you service messages relating to something you have booked or purchased.

Electronic marketing is also subject to the Privacy and Electronic Communications Regulations (PECR).

Payments

Payments may be processed securely by third-party payment providers.

Make Space does not receive or store your full payment card details where payment is processed directly by a payment provider. Those providers process your information in accordance with their own privacy policies and security procedures.

We should insert the actual providers here once you've confirmed what Debbie is using through Wix.

Who I share information with

I do not sell your personal information.

I may share information where necessary with trusted companies that help me operate Make Space, including:

  • website and hosting providers

  • booking and event platforms

  • payment processors

  • email marketing providers

  • IT and cloud storage providers

  • professional advisers such as accountants

  • service providers involved in delivering a booking where necessary

  • regulators, law enforcement or other authorities where legally required

These organisations should only receive the information necessary for the service they provide.

International transfers

Some of the technology providers used by Make Space may process or store information outside the UK.

Where personal information is transferred internationally, I take appropriate steps to ensure that suitable safeguards are in place as required by UK data protection law.

How long I keep your information

I keep personal information only for as long as it is reasonably required for the purpose for which it was collected, including to meet legal, accounting and tax obligations.

Different types of information may therefore be kept for different periods.

When information is no longer required, it will be securely deleted or anonymised where appropriate.

I would ideally give Debbie an actual retention schedule rather than leave this completely open-ended. The ICO expects the notice to state the retention period or explain the criteria used to determine it.

Photographs and social media

Photographs or videos may sometimes be taken at Make Space workshops and events.

Where identifiable people are photographed for promotional or social media use, appropriate permission will be obtained where required. For children, permission should be obtained from a parent or guardian where appropriate.

If you have any concerns about photography at an event, please contact me before attending or speak to me on the day.

Cookies

The Make Space website uses cookies and similar technologies.

Some cookies are necessary for the website to function correctly. Other cookies may be used for purposes such as analytics, remembering preferences or understanding how visitors use the website.

Where consent is required, non-essential cookies will not be used until you have made your choice through the website's cookie banner.

You can change or withdraw your cookie preferences using the cookie settings available on the website.

UK rules require websites to explain their cookies and generally obtain active consent before setting non-essential cookies.

Links to other websites

This website may contain links to other websites or services, including social media platforms, ticketing or booking services.

Make Space is not responsible for the privacy practices of third-party websites. You should review their privacy information when providing personal information directly to them.

Your data protection rights

Depending on the circumstances, you may have the right to:

  • ask for a copy of the personal information I hold about you

  • ask me to correct inaccurate or incomplete information

  • ask me to delete your information

  • ask me to restrict how your information is used

  • object to certain uses of your information

  • receive certain information in a portable format

  • withdraw consent where I rely on consent

These rights do not apply in every circumstance.

To exercise your rights, contact hello@makespacechelmsford.co.uk.

The ICO confirms that these rights and how people can exercise them should be included in a privacy notice.

You also have the right to complain to the UK Information Commissioner’s Office (ICO).
